Managing Your Email Storage

Understanding how email storage works and how to manage it.

What Counts Toward Email Storage

  • All messages in inbox
  • Sent items
  • Drafts
  • Spam/Junk folder
  • Trash (until emptied)
  • All custom folders
  • Attachments in emails

Checking Your Usage

  1. Log into DirectAdmin
  2. Go to Email Accounts
  3. View the quota usage for each account

What Happens When Full

  • New emails bounce back to sender
  • Sender receives "mailbox full" error
  • You may not be able to send until space is freed

Freeing Up Space

  • Delete emails with large attachments
  • Empty your Trash folder
  • Delete old spam messages
  • Archive old emails locally
  • Clear sent items periodically

Increasing Quota

  1. Log into DirectAdmin
  2. Go to Email Accounts
  3. Edit the account
  4. Increase the quota value

Tips for Managing Storage

  • Use filters to auto-delete newsletters
  • Don't email large files - use file sharing
  • Periodically clean out old messages
  • Set up auto-deletion for spam folder
